Our partners will book your air tickets (reservation, confirmation, booking) after receiving your data via our registration form. It is your responsibility to ensure the data inserted is correct. Our travel agent will coordinate the routing with you, please double check the information as soon as you receive the emails and documents. The organizers will book the most cost-effective option.

For train or long-distance bus travel, you are responsible for booking and paying for your tickets. These costs will be reimbursed (with a lump sum) based on the ticket price and upon the original receipts and invoices.

You can use any form of transportation, but note that the travel allowance covers all transportation costs regardless of the chosen method. No additional transportation costs will be reimbursed. We recommend using environmentally friendly options like trains or public transportation whenever possible.

We ask you to notify us as soon as possible if you are unable to attend.
As we try to handle our funds as responsibly and economically as possible, we would like to point out that you may have to pay the cancellation costs if you cancel for personal reasons (missed flights, etc.). In the event of illness, the costs will be refunded on presentation of a valid medical certificate.
